The Complete Toast Payroll Integration Guide

Restaurants run on thin margins and high turnover, which makes clean benefits data harder to maintain than in almost any other industry. When a new hire in Toast Payroll has to be retyped into a carrier portal, the pace of the business almost guarantees something gets missed, and a missed enrollment or a stale termination turns into a billing problem you find out about later.

Connecting Toast Payroll to Benefit Cloud automates that handoff. Employee and payroll data moves straight to your benefits ecosystem, carrier feeds stay current, and your team stops chasing the same records across systems.

Toast Payroll API access runs through a partner-enabled model. Your Toast account team enables access and provides a Client Identifier and Client Secret. Here is how it works.

Step 1: Contact Toast to Enable API Access

API access to Toast Payroll data requires enablement by your Toast account representative. Because this is a partner-managed API, your Toast team must authorize the integration before credentials can be generated. If your account team is unfamiliar with the process, ask to be connected with the Toast Integrations team.

  1. Contact your Toast restaurant technology account manager or customer support.

  2. Let them know you are setting up a data integration with Benefit Cloud.

  3. Request that API access be enabled and that partner credentials be generated.

  4. Toast provides a Client Identifier and Client Secret for the integration.

Step 2: Retrieve Your API Credentials

Note the Client Identifier that Toast provides and the Client Secret issued alongside it. Treat the secret like a password and keep both secure until you submit them.

Step 3: Submit Your Credentials to Benefit Cloud

Submit the Client Identifier and Client Secret through the secure Benefit Cloud portal, where they are encrypted on submission. Benefit Cloud uses the Toast API in read-only mode to retrieve employee and payroll data for benefits processing. We do not write back to Toast, alter payroll records, or access POS transaction data.

What Happens Next

Benefit Cloud tests the connection, maps your data to your feed requirements, and confirms once the integration is live. Your data then syncs automatically going forward.
