The Complete Square Payroll Integration Guide

Square Payroll fits naturally into the way small and service businesses already operate. Benefits should slot in just as cleanly. When team changes have to be retyped from Square into carrier portals, the manual step is where a new hire misses enrollment or a departure keeps generating carrier charges.

Connecting Square Payroll to Benefit Cloud automates that handoff. Payroll and team data flows to your benefits ecosystem, carrier feeds stay accurate, and your team stops doing the same entry twice.

Square uses OAuth 2.0 and keeps separate credentials for its sandbox and production environments. You register one application in the Square Developer Dashboard and collect both sets of credentials. Submitting both supports a smooth testing-then-live rollout. Here is how.

Step 1: Create an Application in the Square Developer Dashboard

Register an application to obtain your sandbox and production credentials.

1. Log in to developer.squareup.com with your Square account.

2. Click Create Your First Application, or the plus button if you already have apps, and name it, for example Benefit Cloud Integration.

3. Open the app and go to the Credentials tab.

4. You will see both Sandbox and Production credentials.

Step 2: Copy Sandbox and Production Credentials

Collect four values in total: the Sandbox Application ID and Secret, and the Production Application ID and Secret. The production secret may display only once, so copy it right away. Keep all four secure until you submit them.

Step 3: Submit Your Credentials to Benefit Cloud

Submit all four values through the secure Benefit Cloud portal, where they are encrypted on submission. Benefit Cloud uses the Square API in read-only mode to retrieve payroll and team data for benefits processing. We do not modify payroll runs or financial data.

What Happens Next

Benefit Cloud tests the connection in sandbox, then moves to production, maps your data to your feed requirements, and confirms once the integration is live. Your data then syncs automatically going forward.
