The Complete QuickBooks Online Integration Guide

For a lot of small employers, QuickBooks Online is where payroll and employee data actually live. That makes it a natural source for benefits, but only if the data can get to your carriers without someone retyping it. Every manual pass is a chance for a missed enrollment or a deduction that does not match what the carrier has.
Connecting QuickBooks Online to Benefit Cloud automates that path. Payroll and employee data flows to your benefits ecosystem on a schedule, carrier feeds stay accurate, and your team stops copying figures between systems.
QuickBooks Online uses OAuth 2.0. You register an application in the Intuit Developer Portal to get a Client ID and Client Secret, then locate your Company ID, also called the Realm ID. Here is how.
Step 1: Create an App in the Intuit Developer Portal
You register an application in the Intuit Developer Portal to obtain your credentials. Use the Production credentials, not the Sandbox credentials, unless your Benefit Cloud representative tells you otherwise.
Go to developer.intuit.com and sign in.
Go to Dashboard, then Create an App.
Select QuickBooks Online and Payments as the platform.
Name the app, for example Benefit Cloud Integration, and save.
Under Keys and credentials, copy the Client ID and Client Secret for the Production environment.
Step 2: Find Your Company ID (Realm ID)
The Company ID, or Realm ID, is the numeric identifier for your QuickBooks Online company. You can find it in the URL while signed in or under your account settings. You will submit this alongside your Client ID and Client Secret.
Step 3: Submit Your Credentials to Benefit Cloud
Submit the Client ID, Client Secret, and Realm ID through the secure Benefit Cloud portal, where they are encrypted on submission. Benefit Cloud uses the QuickBooks Online API in read-only mode to retrieve payroll and employee data for benefits processing. We do not modify transactions, payroll records, or financial data.
What Happens Next
Benefit Cloud tests the connection, maps your data to your feed requirements, and confirms once the integration is live. Your data then syncs automatically going forward.
