The Complete AllianceHCM Integration Guide

Before we jump into the technical steps, let's discuss the strategic mindset required for enterprise-grade automation.

When you connect two robust platforms that handle highly sensitive employee information, digital security is your absolute highest priority.

You must not share your personal credentials.

Instead, you'll create a new administrative user account that Benefit Cloud will use exclusively for secure API access.

By following this best practice, you ensure that your data remains safe, properly segmented, and easily trackable within your system architecture.

Step 1: Review AllianceHCM API Documentation

First, review the official AllianceHCM documentation to understand how API access and tokens work.

Taking a few moments to read the official manual ensures you understand the landscape of the software you are connecting. Knowledge is power, and knowing how your tools operate gives you an incredible advantage.

Here are your exact step-by-step instructions for this phase:

  • Visit the AllianceHCM JSON API Manual at https://api2.hralliance.net/JSONAPIManual.html.

  • Read the sections on "Company Access" and "API Token".

  • Make sure you understand how to generate an API token using your admin account.

  • This familiarizes you with the API token generation process before creating the dedicated user.

By completing this quick reading exercise, you set a strong foundation for the rest of the Benefit Cloud AllianceHCM integration process.

Step 2: Create a Dedicated API User

Now that you understand the underlying mechanics, it is time to build the digital bridge.

Create a new user account in AllianceHCM specifically for API access.

Think of this dedicated account as a specialized digital courier. Its only job is to safely transport data back and forth. Benefit Cloud will only use this for API calls—we will not log into your AllianceHCM portal.

Because it is your system, you retain full control and should store these credentials for future troubleshooting.

Follow these step-by-step instructions to configure the new account correctly:

  • Create a new user in AllianceHCM.

  • We highly recommend using the username suggestion: "BenefitCloud".

  • Grant this user the same administrative permissions as your own account.

  • This ensures the user can generate API tokens and access necessary data.

Step 3: Generate Your API Token & Submit Credentials

You have built the user account; now you need the highly secure keys to unlock the data flow.

Generate the API token for the new user and securely provide all credentials to Benefit Cloud.

These credentials serve as the secure VIP pass that allows our two systems to seamlessly communicate without any human intervention.

Here are the step-by-step instructions to finalize your connection:

  • Log in as the new user you just created.

  • Go to Settings > Profile.

  • Click "Reset API Token".

  • Collect these three items: Username (the user login), Password (the user password), and API Token.

  • Note: The username and password are for the user account itself, not separate API credentials.

  • Send the credentials to us directly (1-on-1) OR use the interactive guide to securely upload them.

Once submitted, the heavy lifting is completely finished. Your days of manual data manipulation are officially over.

Critical Security Best Practices

Because you are dealing with sensitive employee demographic and payroll information, you must treat this technical setup with the highest level of security possible.

A single compromised password can cause immense organizational damage.

Here are the non-negotiable security best practices you must follow to protect your organization:

  • Use Strong Passwords: Create a unique, complex password that's at least 16 characters.

  • Secure API Token: Treat the API token like a password.

  • Dedicated Account: Never use your personal credentials.

  • Secure Transmission: Use Benefit Cloud's secure portal or encrypted methods.

  • Annual Review: Rotate credentials annually.

By adhering strictly to these guidelines, you eliminate the vast majority of digital vulnerabilities.
